Departments that use Microsoft Access Database files can still access those files in the Network Shared Drive but will need to save any outputs of the files to your department SharePoint site. For example, an employee updates data held in an MS Access file which is located on the Shared Network Drive. The employee then needs to take information from that database and include it in another document. After adding that information to a document (e.g., Word, Excel, other) make sure to ‘Save As’ and select the dept SharePoint site as the saved location.
TIP: Quickly save documents to SharePoint Instead of to the Network Shared Drive. When you save a document to a specific location on your computer regularly, Microsoft will usually default to that location when saving new documents. The first few times you need to save a document to SharePoint (instead of the network drives) you will likely need to redirect it to SharePoint as noted below.
From the document you wish to save to SharePoint (PowerPoint doc in this case), select File on the left-hand upper corner of the screen. Select Save As from the left-hand navigation.
Look for your department SharePoint site in the Quick access menu or in the list of folders shown in the main part of the page. If you cannot find the SharePoint site, follow the steps here so that you can save and ‘pin’ the file path to SharePoint to your computer for quick access in the future.
